The purpose of this policy is to outline the process for archiving University of Wisconsin Organ and Tissue
Donation (UW OTD) organ donor serum and plasma samples. Organ donor serum and plasma will be
archived for a period of at least ten years after organ recovery in conditions approved by the Food and Drug
Administration (FDA) to maintain the integrity of specimens. The archived samples will be available for the
use of organ donor retrospective infectious disease testing per all applicable regulatory requirements.
Prior to July 1, 2009:
A. UW OTD will store all organ donor serum and plasma samples that were archived before this
B. The samples will be stored in a freezer located in the UW OTD lab (F8/184) at negative 80
C. The freezer is monitored at all times (24 hours a day, 7 days a week) by UW Health Facilities and
Engineering Services department.
D. In the event of a freezer power or equipment failure, the on call UW OTD organ procurement
coordinator (OPC) will be notified by UWHC plant engineering.
E. If it is determined by UWHC plant engineering that the freezer cannot be repaired in a timely
fashion, the samples will be temporarily relocated to an alternate freezer with the same
temperature settings and continuous monitoring. The backup freezer is located in H4/335.
F. Once it is determined by UWHC plant engineering that the freezer is operational, the samples
will be returned to the original freezer in F8/184.
July 1, 2009 – June 30, 2016:
G. The Blood Center of Wisconsin (BCW) will store all organ donor serum and plasma samples that
were archived during this time period.
Beginning July 1, 2016:
H. Gift of Hope & Tissue Donor Network (GOH) will store all organ donor serum and plasma
samples archived starting on this date.
