Department of the University of Wisconsin Hospitals and Clinics Authority as integrated effective July 1,
Policy Title: IS Out of Office Request

This policy establishes the guidelines and procedures that Information Services (IS) employees
must follow to account for absences from their assigned office building or workplace.
Out of Office (OOO): Any time an IS employee is not available. Reasons for being OOO may
include, but are not limited to:
• On vacation.
• At training.
III. POLICY ELEMENTS
All OOO requests for four consecutive hours or longer (standard work day) must follow this
1. Vacation time must be approved by an employee’s direct supervisor prior to usage.
2. If an employee is ill or out of the office for four or more hours, they should update Outlook,
personal voicemail greeting, and pager availability to indicate their absence and alternate
coverage. If this isn’t possible, the employee should contact a member of the management
team to alert them of their absence.
