CASE CART/DOCTOR PREFERENCE
CARD VERIFICIATION


I. PURPOSE
To assure that the proper equipment, instruments, and supplies are made available in a timely and
organized manner.

II. POLICY
The charge nurse will assume responsibility for assuring case cart/preference lists are prepared in a
timely manner.

III. PROCEDURE

A. INPATIENT and AFCH PROCEDURE:
1. Day Shift - 10:00
a. It is the responsibility of the Surgical Services Managers/Supervisors for each service to
ensure that doctor preference cards (DPC’S) are accurate and consolidated whenever possible.
b. Printing:
i. The DPC’s will auto batch print each weekday at 9:30 for the subsequent day.
ii. The control station will print the schedule after the DPC’s print.
c. Responsibilities of the 10:00 Surgical Technologists:
i. Assemble DPC’s.
ii. Discard any unnecessary or duplicate DPC’s. If in doubt as to what DPC to use, contact
the Surgical Services Manager/Supervisor or senior staff from that specialty. If applicable,
refer to Reservation Request Card information for special requests, equipment, and
additional patient information.
iii. Use red ink (red felt marker) to make additions or changes on the DPC's, as the red
marking is readily seen by those picking the cases.
iv. For each DPC, mark if it is case 1, 2, or 3.
ξ Check off DPC against the printed schedule to assure appropriate DPC's has been
selected and completeness.
ξ Send DPC's and one copy of the Operating Room (OR) schedule to supply core.
v. Enter name of person verifying DPC on case card and initial case card.
d. Central Supply OR (CSOR) picks up semi-final schedule, checks for case carts, and if needed,
calls the control station to let them know about missing case cards/DPC’s. The DA or
Designee then prints those missing cards and sends them to CSOR.
2. P.M. Shift
DPC's are picked as cases are added onto the next days previously printed schedule.
a. 1600 – The Department Coordinator (DC) checks over and corrects information on the
schedule and enters additional add-on cases. Then the DC prints the DPC’s and calls/pages
CSOR to pick up.
b. 2000 – The DC repeats the process in step a above.

3. Weekends
a. DC enters any add-on cases, prints out DPC’s for those add-ons, and notifies/sends to CSOR.
CSOR checks for the case carts for Monday’s schedule and reports back to DC any case carts
that are missing. DC prints out missing DPC’s and sends to CSOR.
b. Sunday - PM shift - DC reviews OR schedule for more weekend add-ons and any last minute
corrections to Monday’s schedule. The DC enters any add-on cases, prints out DPC’s for
those add-ons, and notifies/sends to CSOR.
4. Emergency/Add-On Procedures/Changes to Schedule
a. Choose most appropriate DPC from scheduling system.
b. Print copy, send to CSOR labeled STAT, and call CSOR to assure urgency is communicated.
c. Communicate all changes in the schedule to CSOR.

B. OUTPATIENT PROCEDURE:
1. Day Shift – 4:00PM
a. Printing:
i At 4pm (Mon-Fri), DPC’s will auto batch print for each scheduled case.
ii. If this print job fails to print automatically at the designated time, call the Help Desk at 265-
7777, place a heat ticket, and ask that the “OTA” analyst on call be notified to fix the OSC-
OR “DPC-Batch Print Job”.
b. Responsibilities of the OSC Staff Member:
i. Will assemble the DPC’s, compare them with the next day’s OR schedule, and assess for
appropriateness. Refer to reservation request card for special requests, equipment and
additional patient safety information.
ii. Mark each DPC with day of week, OR room number, and case number, using a different
colored felt tip pen than the previous day.
iii. Place in sterile core for Central Supply (CS).
2. Day Shift – 8:30 AM, picking the next day’s cases.
a. CS staff will pick supplies for the next day’s cases in OSC/CS. When appropriateness of DPC
list is questioned, consult with the charge nurse.
b. Pick one case per bin, initial DPC, and tape DPC to bin.
c. Place first case of the day bins on designated cart.
d. After receiving final schedule of the day (3:00 pm-4:00 pm) review for added cases or
cancellations. DPC’s for added cases will be picked at this time, or earlier if the time allows.
Cases will be renumbered as necessary.

C. THE AMERICAN CENTER
1. Evening Shift – 10-1830
a. At 1000 the DPCs will auto print each scheduled case 2 days in advance.
b. Responsibilities of 10:00 Surgical Tech.
i. Will assemble the DPCs and compare them with the schedule for 2 days later.
ii. Assess for appropriateness of the card. Contact OR Charge RN with any questions.
iii. Mark each DPC with the specific OR and Case Number.
iv. Highlight all pertinent information on the front sheet of the DPC.
v. Indicate which special requests need to be picked up Reprocessing.
vi. Bring all DPCs and schedule to Repro for picking.
c. The Charge RN will bring an updated schedule for the following day in the late afternoon for
case carts to be double checked.
d. Responsibilities of Reprocessing staff.
i. Pick all cases the morning prior to the surgical date.
ii. Ensure all case carts are complete and initialed.
iii. If missing instruments, indicate what is missing.
iv. Have first case carts for the following day ready to be sent up to the OR by 1730.
