I. PURPOSE
To establish vacation and legal holiday scheduling practices related to this benefit time for
University of Wisconsin Hospital and Clinics (UWHC) Radiology employees.

II. POLICY
All vacation and legal holiday benefit time will be utilized in a manner consistent with UWHC
Policy 9.50 Vacation and Legal Holidays.

III. PROCEDURE
Radiology will develop scheduling practices that meet the unique operational needs and
staffing/scheduling requirements of individual sections and strive for fundamental fairness for all
employees.

Vacation Time
A. Individual sections will identify operational staffing minimums that will establish the
number of employees allowed to use benefit time on a given shift or day.

B. Service date based vacation requests submission will be completed by November 15 each
calendar year.

C. Requests submitted will span the upcoming calendar year as follows:
a. Selections chosen in 2015 will cover requested dates from January 1, 2016
January 9, 2017.
b. Each subsequent year requests will cover dates from January 10 through the
following January 9 (i.e. Jan 10, 2017 – Jan 9, 2018; Jan 10 2018 – Jan 9, 2019;
etc.)

D. Requests will be submitted by employee in order of hospital service date, with the most
senior employee choosing first and progressing in order of hospital service date. Requests
will be submitted in “rounds”, allowing each employee a choice of selection before
proceeding to the next round.
a. The first round of requests includes two selections of a maximum of 40
consecutive work hours (or the equivalent for part-time employees) per selection.
i. A selection of Friday and the following Monday is considered two
separate selections unless the employee only works the weekend.
ii. Selecting an unavailable date will document the employee desire for the
vacation selection and will be counted as a selection.

b. The second round of requests includes any amount of hours in any desired
pattern, up to the amount of vacation benefit time awarded.
c. Vacation selections requested following the service date based process will be
approved on a first-come, first-serve basis. Conflicting requests will be granted to
the employee with the earliest hospital service date.

E. Individual sections will select the length of time allowed for each employee to choose
dates for each round of requests. Requests will be approved or denied within one
business day. If an employee plans to be away from the workplace during their
designated selection time, they should submit requests to their manager in advance.

Legal Holiday Time
A. Individual sections will identify operational staffing minimums that will establish
adequate staffing of legal holidays.

B. Individual sections will choose the holiday selection process that best meets the unique
staffing/scheduling requirements of the section, striving for fundamental fairness for all
employees. Each selection process will be documented and included as an attachment to
this policy.
