Title: Resident Scheduling for
Professional, Practice and Leisure


I. PURPOSE: To define time allocations and scheduling for professional and
personal leave time, outside of extended leave of absences, to allow for
pharmacy resident professional development and leisure activities.

II. POLICY: The residency programs at the University of Wisconsin Hospital and
Clinics will be coordinated according to standard practices and procedures
within the pharmacy department in Policy 1.11 Pharmacist
Staffing/Scheduling and pharmacy resident Policy 18.1 Pharmacy Resident
Pharmacy Practice Experience.
III. PROCEDURE:
a. Residents time will be noted on the department schedule(s) as follows:
i. Staffing shifts will be designated as
1. "A" = am shift
2. "P" = PM shift
3. Mid = mid day shift
4. "10hr" = 10hr shift
5. "12hr" = 12hr shift
ii. Non Staffing shifts will be designated as
1. "RD" = resident day
2. "M" = meeting day
3. "O" = off day
4. "V" = vacation day
5. “LH”= legal day
b. Hourly staffing commitments (i.e, the pharmacy practice experience) for
residents are described within the resident’s program manuals and in
Policy 18.1 Pharmacy Resident Practice Experience.
c. Residents are responsible for submitting requests for meeting and/or
vacation days to the appropriate scheduling coordinator and/or through the
department scheduling software according to department guidelines.
d. Once the schedule has been posted, changes in “staffing” shifts (as noted
in Section III.a.i above) must be submitted to the appropriate scheduling
coordinator for routing and approval.
e. Once the schedule has been posted, changes in “non-staffing” shifts (as
noted in Section III.a.ii above) must be submitted to the resident’s
program director and the appropriate scheduling coordinator for routing
and approval.

f. Resident Days are utilized for fulfilling rotation requirements, project or
course work. The residents must be present in the hospital, clinics or
offsite at a minimum from 0800 until 1700 unless attending class.
g. Meeting Days are allotted and determined by the program director.
Meeting Days are utilized for, but not limited to:
i. PSW Annual Meeting
ii. ASHP Summer Meeting= vacation day
iii. Senior Administrative Summer Trip and Residency Exchange
iv. ASHP Leadership Conference
v. UHC Fall/Annual Meeting
vi. ASHP Midyear Clinical Meeting
vii. Junior Administrative Winter Trip
viii. APhA Annual Meeting
ix. PSW Spring Educational Conference
x. PGY2 Specialty Meeting Attendance (Critical Care, ATC,
Oncology)
xi. Pharmacy Practice Spring Trip
xii. Great Lakes Residency Conference
xiii. Other meetings as determined by the program director
h. Vacation Days and Legal Holidays are requested and granted per
department administrative standards and with the approval of the program
director. Residents are required to take at least 1 week of vacation during
the second summer of the program if they are completing a PGY2 year
(applies to Admin, MSO programs only.)
i. A floating holiday will be granted to a resident if a holiday falls on a
weekend and the resident is off, or if the resident works on a holiday. The
resident will be allotted a Legal Holiday equivalent to a vacation day to
use on a different day of the resident’s choice.
j. Off Days are allotted and approved by the Program Director and can be
used for personal or professional obligations.
k. Interview days are granted at the discretion of the program director.
