Time





I. PURPOSE:
a. To establish a standardized approach for inpatient clinical pharmacists
(non-residents) to request project time and for the Inpatient Pharmacy
Managers to evaluate, approve and prioritize requests.

II. FORM:
a. Project Time Request Form

III. SCOPE:
a. Non-resident clinical pharmacists that participate in the inpatient staffing
model.
IV. POLICY:
a. Requests for project time will be evaluated, approved and prioritized
based on:
i. Impact on quality, efficiency, cost-savings and scholarship
ii. Alignment with one UW Health Department Strategic Initiative as
outlined within the current strategic plan
iii. Project feasibility and hours requested
iv. Participation in the Pharmacist Advancement and Recognition
Program (PARP), if eligible
b. Pharmacists’ staffing hours will be offset by project hours, once
approved. Pharmacists will be compensated for project hours and need
to allocate at least that amount of hours to work on projects.
c. If the project hours initially granted were not used for the requested
project, pharmacists will not be granted additional hours to complete the
project. The Inpatient Pharmacy Managers will also take this into
consideration when evaluating future requests for project time.
d. There is no guarantee a proposal will be approved or be assigned project
time.
e. All patient care needs will take precedence over project time approvals
and project time is subject to change at any time due to department
needs and unforeseen circumstances.

V. PROCEDURE:
a. Requesting Pharmacists
i. Inpatient clinical pharmacists desiring project time will need to fill
out a “Project Time Request” form.

ii. Completed forms must be submitted to their direct supervisor at
least two weeks prior to the deadline for time off requests (request
due dates can be found on Workspaces).
iii. Pharmacists with approved projects are responsible for creating
an action plan with their direct supervisor. This plan must include
follow-up tasks and corresponding progress checkpoints. Plans
are to be emailed to their direct supervisor prior to the start of the
schedule of which the project hours are assigned.
iv. Upon completion of a project, pharmacists may be requested to
present their results at a Pharmacist Staff Meeting or other venues
as determined.
b. Direct Supervisors of Requesting Pharmacists
i. Direct supervisors must evaluate and pre-approve proposals. This
task may be delegated to another member of the Inpatient
Pharmacy Managers Meeting who would be involved in the
project.
ii. Pre-approved requests should be forwarded to the chair of
Inpatient Pharmacy Managers Meeting to be added to the agenda,
at least one week prior to time off request deadlines.
iii. During the Inpatient Pharmacy Managers Meeting review date,
direct supervisors will present project requests to the group.
iv. Direct supervisors are responsible for communicating back to the
requestors about the statuses of their requests.
v. For projects that were approved, direct supervisors will meet with
each pharmacist and determine the action plan required to ensure
project completion.
vi. Direct supervisors will present updates on approved project
requests on the second and fourth Inpatient Pharmacy Managers
Meetings of the month. The reporting schedule will depend on
deadlines that were determined in the action plans.
c. Inpatient Pharmacy Managers Meeting
i. The group will conduct a simple majority vote to approve or deny
projects and prioritize project list and project hours to assign for
each schedule release.
ii. Prior projects not yet completed or approved will be re-prioritized
at the Inpatient Pharmacy Managers Meeting one week prior to
the deadline for time off requests.

i. The chair of Inpatient Pharmacy Managers Meeting is responsible
for ensuring that direct supervisors and requesting pharmacists
have an action plan to complete projects within the allotted time.
ii. Upon the final deadline set forth in each action plan, the chair will
follow up with the corresponding supervisor on project completion
status.
e. Scheduling Coordinator
i. The scheduling coordinator will utilize the project list to issue
project hours. The scheduling coordinator will email the
pharmacists whose requests were approved with the number of
approved hours and for what request, copying the respective
managers.
ii. The scheduling coordinator will track the hours assigned to each
pharmacist.
