Administrative Departmental Policy
This department-specific policy applies to the operations and staff of the Information Services
Department of the University of Wisconsin Hospitals and Clinics Authority as integrated effective July 1,
2015.

Policy Title: Health Link RightFax Management

I. PURPOSE
This policy establishes procedures to activate RightFax in non-production environments, define a
communication methodology to notify when RightFax is activated in a non-production
environment, and document the responsibilities of the Health Link Technical Team to inactivate
RightFax after a Health Link non-production environment refresh.

II. DEFINITIONS (optional)
Health Link: The trademarked name for the Epic Systems integrated health record and business
software.
RightFax: Fax server utility that takes print jobs from Health Link and sends them to a specified
location.
Non-production environments: UW Health specified Health Link test environments (i.e., DEV,
INT, and VFY).
Health Link Print Queue: A LPD print queue that holds output designated for the RightFax
system. This is how RightFax receives data from the Health Link software.


III. POLICY ELEMENTS
1. The RightFax workstation record (LWS) should only be activated during testing and then
made inactive once testing is complete.
2. After testing is complete, document within the RightFax workstation notes section the date
and time Rightfax faxing was deactivated in the environment, along with user sign-on.
3. It is the responsibility of the Analyst to send an email notification to the UWH – IS Staff
distribution list when RightFax is activated in a non-production environment.
4. It is the responsibility of the Health Link Technical Team to disable the RightFax
functionality after an environment refresh.
5. When Protected Health Information (PHI) content is involved, the IS System Security
Consultants need to review the request. They will notify all parties via email if the request is
denied or if revisions are needed prior to approval and provisioning.
