This department-specific procedure applies to the operations and staff of the Information Services
Department of the University of Wisconsin Hospitals and Clinics Authority as integrated effective July 1,
2015.

I. PURPOSE
The Health Link EHR system is jointly supported by UW Health Information Services (IS) and
Unity Health Insurance. This policy outlines the shared responsibilities for managing print queues
and devices.


II. DEFINITIONS (optional)
Health Link: The integrated health record and business system shared by UW Health. The
trademarked name for the software is Epic Systems.
Print Device: A computer hardware peripheral used to create hard copy documents.
Print Queue: A virtual device that holds output waiting to be sent to a printer.

III. POLICY ELEMENTS
UW Health and Unity Health Insurance work in partnership to manage and perform technical
services necessary to maintain Health Link print queues and devices as outlined in the following
table.

1. Install and configure printers for use on a data

2. Relocate or remove printers, as requested.

2. Notify the IS – PRNTCHNG e-mail group
when server side print queues are
added/changed or removed.
3. Create device records to be used within Epic
applications.

Due to the collaborative nature of printer queue and device support the potential exists for
oversights that could negatively affect end user printing services. Therefore, all employees
involved in print queue and device support are responsible for identifying and communicating
potential problem points to their direct Supervisor as well as practicing continual process
improvement.
