Title: RA SU Management (this
procedure is used by UWHC, UWMF,
and Unity)

I. PURPOSE

This procedure describes the steps for managing Release Authorizations (RA) and
Special Updates (SU), for fixes and enhancements through each of the Health Link
environments.

II. PROCEDURE

A. RA Conference Call

1. The RA Conference Call Group meets three times per week, on average.
2. Agenda items are submitted to the RA Coordinators and/or designee by 2 PM the
day prior to the conference call.
3. The RA Coordinator is responsible for ensuring environment progression and
providing approvals for all RA/SUs and bi-monthly SU packages.
4. The RA Coordinator is responsible for coordinating the agenda and
producing/distributing meeting minutes.
5. The RA Coordinator is responsible for providing an electronic signature in Epic’s
Sherlock web application.
6. As part of the Change Management process, the RA Coordinator creates a
Service Now ticket and assigns it to the appropriate supervisor or application
owner. The Service Now request number should then be documented in the
meeting minutes. This ticket will track the RA/SU’s migration through the Health
Link environments.

B. Urgent RAs

An urgent fix is needed when an issue is categorized as business critical or patient
safety is at risk, requiring immediate approval and application to the Health Link
Environment(s).

1. Epic Technical Services (TS) initiates an email with HL Urgent RA in the
subject line and sends it to the IS – Health Link RA/SU Group-UWH
2. The RA coordinator is responsible for gathering approval(s) from the
appropriate application team(s) and then provides an electronic signature in
Epic’s Sherlock web application.
3. At the next RA Conference Call, the urgent RA number should be added to
the minutes.
