Category: UWHC Departmental Policy
Policy Number: 1.09
Effective Date: October 31, 2015
Section: Administration (Ambulatory)
To provide a process for facility managers and clinic staff to provide reading materials in public areas or
exam rooms. All materials are subject to a final approval by the clinic manager.
A. All reading materials in waiting areas/exam rooms must be kept current. Time‐sensitive
magazines (i.e. Sports Illustrated, Time, etc.) and newsletters should be no older than three
months, unless published on a longer duration, for example, quarterly. Less time‐sensitive
magazines (i.e. National Geographic, Smithsonian, etc.) should be no older than one year.
Educational brochures or pamphlets should be current and up to date.
B. Designated clinic staff will check bi‐monthly for expiration dates and dispose of any
periodicals or publications not meeting these guidelines.
C. Each clinic in a facility will purchase magazines for public areas. This will be coordinated
by each clinic manager, facility secretary, or designee. When magazines are delivered to each
clinic, the clinic manager or designee will screen the magazines for appropriateness prior to
putting these in public areas and exam rooms.
D. All magazines donated or purchased will be dropped off at a central location designated
by the facility manager prior to distribution. The best central location may be the facility
secretary. Donated magazines used in public areas and exam rooms will be screened by the
facility manager or designee prior to distribution.
1. All magazines must have name and mailing addresses removed ‐ cut or blacked
2. Magazines should not include inappropriately attired men or women on the
cover. Gun magazines or religious magazines are not allowed in public areas.
