Hospital facilities, equipment, supplies, and personnel shall be used only to advance the interests of the hospital. This includes all hospital property, such as computers, computer network, Internet, telephones, copiers, stationary, postage, etc.
It is understood that because of the hours that staff work, it may be necessary to have some minimal personal use, such as local phone calls, personal e-mail messages, and the like. Some incidental personal use of the Internet is also permitted. There are settings and times when this can be done without interfering with hospital work. It should never be done at times when it interferes with hospital work. Usage of hospital facilities as described above is a privilege, not a right. If it is done excessively or when you have been told not to do it, discipline can result.
UWHC encourages support of and involvement in health-related charitable activities. Supervisors may authorize use of modest amounts of hospital resources for such purposes. However, if the supervisor is involved in the same charitable activity, the approval must be obtained from the Vice Presidential level officer responsible for the area or from the CEO.
UWHC encourages professional employees to engage in academic activities, such as teaching, writing, editing and lecturing, that can support the hospital by increasing their knowledge base and provide networking opportunities. Modest amounts of hospital resources may be used for such purposes. Before substantial amounts of hospital resources or time may be used, approval should be obtained from the Vice Presidential level officer responsible for the area or from the CEO.
Hospital resources shall not be used for any non-academic activity for which the employee is compensated, unless prior written approval is obtained from the Vice Presidential level officer responsible for the area or from the CEO.
No UWHC employee has authority to take medical records outside hospital facilities, except for approved transport between facilities and in cases of releases authorized by the Director of Health Information Systems or the General Counsel for legal purposes. No UWHC employee has authority to store UWHC medical information outside UWHC, UWMF or UW Medical School facilities without prior written permission from the Director of Health Information Systems or the General Counsel. No UWHC employee may use Health Link access for any purpose other than assigned hospital business or approved research; personal use is not permitted under any circumstances.
Any use permitted by these standards can be prohibited or limited in individual cases by supervisory or management personnel.
